EVENT RIDER


LOCATION

Please send parking and loading directions for your artists. Exact location at event must be indicated; specific directions including a map is preferred. You can enter this information on the questionnaire we send you.

POWER

Client must ensure proper electrical access and capacity for ALL performance areas. Power must be no more than 20 feet from the stage/each performance area or your act must be notified ahead of time. Crowd Theory Entertainment cannot be held responsible for power interruptions or deficiencies. Venue or client will provide the following electric needs:

  • BANDS: At least 3 dedicated 110v/20amp circuits for audio use for each setup/service.

  • DJs: 2 dedicated 110v/20amp circuits for audio use for each setup/service.

  • MUSICIANs / ENSEMBLES of 3 or less: 2 dedicated 110v/20amp circuits for audio use for each setup/service.

STAGE

Minimum stage dimensions depend on group size. A stage height of 2 feet is best. We STRONGLY encourage renting a stage for a more professional aesthetic for bands. Stage width and length requirements below:

  • 10-12 Piece Band (16 x 24)

  • 7-9-Piece Band (12x20)

  • 4-6-Piece Band (12x16)

  • 2-3-Piece Band (12x8)

  • DJ (8x8)

TABLE / LINENS / Chairs / umbrellas

For wedding ceremonies, please provide a table and linen for our sound team, as well as chairs for each musician (if you hired live musicians for this service).

Please also provide chairs for our ceremonies musicians. String players (violin, viola, cello) prefer armless chairs. String instruments are also susceptible to sun damage, so please provide umbrellas or a shaded area for our musicians.

OUTDOOR EVENTS

Client agrees that provisions will be made for the proper grounding of electrical equipment and instruments so as not to constitute a danger or hazard. In the event of rain, our team’s equipment can not be moved inside once it is set up. Unless a suitable indoor performance space is procured by the CLIENT prior to the arrival time of the performers, the performance will be considered canceled and non-refundable. If the performance must be cancelled, either because of inclement weather or client’s failure to obtain indoor facilities, your artist shall nevertheless be paid in full the contracted price.

The only potential alternative to an indoor contingency for inclement weather is a heavy-duty canopy tent with side walls, offering protection from above and from the sides. The dimensions of the tent must equal or exceed the minimum performance area dimensions for the size of your band. If you rented a stage, make sure that the dimensions of the tent exceed the dimensions of the stage. If the tent is defective and/or doesn’t provide total protection from moisture due to rain, we reserve the right to cancel the event for the protection of our contractors and equipment, and no refund will be issued. An indoor contingency is the only guaranteed solution to inclement weather.

Umbrellas or a tent may be required if talent is performing in direct sunlight, especially for hot mid-day performances. Heaters must be provided if air temperature lowers to a certain level.

ARRIVAL

Generally, we require access to place of performance at least three to four hours prior to starting time for technical set-up for bands, and at least two hours prior to starting time for DJs and small ensembles. Arrival time requirements may vary by event.

HOSPITALITY AND MEALS

Please ensure the following is provide for artists upon band arrival to event:

  • A green room with tables and chairs for our contractors.

    • If the event is outdoors, we require a shaded area for our team. On particularly hot days (temperatures above 80 degrees), please provide an indoor space with air conditioning.

  • 1 case of water or 24 bottles of water

  • Coffee and sodas appreciated, but not required

  • (1) hot meal per contractor/crew-member for events 3hrs or longer. Please confirm number of meals and dietary restrictions with management.

  • Additional snacks and water for events where our crew is expected to be on site for longer than 8 hours.

OVERTIME

If and when agreeable, the time of the Performance may be extended at the hourly overtime rates indicated on your performance agreement. All of our contractors and client must agree to overtime, and payment for overtime must be remitted in advance of the overtime performance.
